Office Manager
Half the week runs our office. Half the week opens doors.
We are looking for the person who runs the place — the one who knows where everything is, what is due Friday, and who has not called back yet. We are a marketing company for medical practices, based in Lindenhurst, New York, and we have grown past the point where the owners can keep track of it all themselves.
What it’s like here
We are a family-first company. We work hard for our clients, we go home to our actual lives, and we like each other — there is a lot of laughing in this office, and we intend to keep it that way. We are a busy, creative group with a lot going on, and we want the person who keeps all of it moving so the rest of us can stay on client work. When something is due, we want you to say so — to any of us, owners included — and when you do, we will back you.
How we got here
Our team has been doing this for fifteen years — along the way working with brands like T-Mobile, Unilever, and SheaMoisture — and today we work almost entirely with medical practices across the country. Over the last two years we invested heavily in our own systems: software we built to run our own company, which now does the parts of this job that used to eat the day — the filing, the chasing, the reports nobody wants to build. What it cannot do is decide what matters this week, or walk into a room and know something is off. That is the half we are hiring.
What you would own
- Our Lindenhurst headquarters — this seat runs the physical office as well as the systems.
- Vendors, subscriptions, insurance and renewals — already tracked and flagged by our software, so you are approving and deciding, not chasing paper.
- Team administration and onboarding.
- Accounts payable and vendor billing — the money side of the office runs through you.
- The other half of the week: outreach. You will email and message medical practices we have never met, book consultations for our sales team, and follow up until each one is a yes or a clear no. You never run the sales call — you open the door, and you are paid every time a meeting happens, with a bonus when one becomes a client.
The person we are looking to work with
This role assumes you have run an office, a practice, or a family business for at least five years. It is not an entry-level seat. You are organized, straight about what you do not know, comfortable asking for money that is owed, and hard to rattle.
And you are warm. You laugh easily, you take the work seriously without taking yourself seriously, and you keep people on track the way the best ones always have — kindly, firmly, and before it becomes a problem. If every team you have been on quietly ran better because you were there, you are who we mean.
One honest flag: half of this job is outreach. Most practices will not answer, and you will follow up again the next day. If that sounds satisfying — a numbers game you get paid to win — keep reading. If it sounds miserable, this is not the right seat, and we would rather you know now.
On the AI: you do not need any experience with it. Our tools are built to be learned, and part of the process is doing one real task with them — because a genuine desire to learn is something we would rather see than hear about.
Compensation
Location, hours, pay
Full-time in our Lindenhurst office. Once the office is running your way, some hybrid work-from-home days open up.
Base salary
$50,000
your first raise is reviewed at 90 days — scheduled, not something you have to ask for
On-target first year
$58,000–$66,000
base plus commission on the consultations you book — no ceiling on the commission half, plus bonuses on strong months
